About the team of Exhibition Stall Designers Delhi
Our team consists of creative and enthusiastic 3D stall designers for Exhibition Booth designing in Delhi who are specialized to provide professional booth design services in the Exhibition and Event Industry. India’s leading Exhibition Stall Fabrication Company like us, always believe to provide high-end quality and services for its business clients ranging from all industries. Our modus operandi or the mode of operation that we follow starts from taking the brief from client that includes basic details about the booth they have booked, venue, booth facing towards which direction, width of passage, details about the neighboring booths, what is the location of stands of client’s competitors, etc.
With the help of instruction manual provided by the organizer, we also gather complete details of guidelines for booth designing company in Delhi for instance - what is the maximum height of back wall i.e. the wall touching neighboring booths on back & side-ways stands, what is the maximum height of front fascia allowed for the stand and most importantly what is the maximum height up to which the branding can be done, etc. We take more details like is there any restriction of usage of any particular construction material because there are some exhibitions in Delhi that don’t allow the use of iron and other metals so our creative team has to be careful while designing. Also, at some venues, there is a ban on heavy halogen lights so we have to consider that as well at the designing stage.
We can only use metal halides, arm lights or concealed lights in that particular venue or expo. We have to take care of all the construction related guidelines so as to avoid any last-minute hiccups. There are some venues that do not allow the making of double-decker stands or mezzanine floors due to low heights or some other reasons. There was a time in the past few years when Delhi exhibition companies never made designs with mezzanine floors because they were completely not allowed due to safety issues. This safety measure was taken by ITPO (International Trade Promotion Council) of India whose head office is located in New Delhi. The decision was later revised a few years back and according to a standing instruction by ITPO, currently, a maximum of 25% area of stands can be used as a mezzanine structure. But this is only allowed for the stands having an area equal to or more than 100 square meters.
Process of Stall Fabrication
While stand designing in Delhi, our creative team has to take care of all these points and being highly experienced in the trade, our team is very well versed and comfortable with most of structure related guidelines in each venue. The structure guidelines may vary from venue to venue and most importantly every exhibition has a separate structure related guideline that is shared with the exhibitors in the form of an exhibition manual and they are instructed to share the same with their booth designers and stall designing agency in Delhi. In the exhibition manual we can find all relevant details that we need to take care for designing a booth as well as details related to the onsite fabrication schedule.
The designing of booth is not an easy task because the stall designer in Delhi has to take care of aesthetics and looks for cosmetic attraction based on the feedback provided by the client as well as they have to take care of the guidelines mentioned in the exhibitor manual so that output that comes should be an optimum solution that is approved by the client because its ultimately their property and it should be according to their taste and moreover it should solve the purpose of product display, etc. if they have any. Most importantly, the design should get an approval from the organizer which is only possible if it will suit all their structure related criteria and instructions. There are some organizers who follow a particular set of strict guidelines in all their India exhibitions. For instance, there are some organizers who don’t allow neighboring walls that is back wall and side walls height exceed 2.5 meters.
Some of these organizers are very strict about their exhibition guidelines so the stall designers in Delhi have to be very cautious as if these instructions and guidelines are not followed, heavy penalty is imposed on the exhibitor and hence onus comes on the stand design company in Delhi. While on the other hand there are organizers that don’t impose any restriction on height of stands but they instruct you to have a floor ramp if you have a floor riser or wooden platform so as to give an easy access to handicaps and physically disabled. In case it is not followed they will not approve the construction of booth.
There is another big factor which creative team and booth designers in Delhi have to consider while brainstorming of the stand for their clients. That major factor is budget of the stand or cost involved. Generally, most of the clients don’t share stand budget so creative team is free to give wings to their ideas and clients also don’t want to restrict the creative team in a boundary so they don’t reveal what target budget they’re looking at. They are hopeful that whatever best booth designer shares may well within their budget and if not, they can get that modified later on like remove some of the elements and compromise on some aesthetics to fit that into their budget which is most likely case. But, some of the clients are very specific about their target budget and of course it saves lot of time as well.
These kind of clients share their maximum budget and now ball falls in the court of creative designer because now he has to find out an optimum design solution that follows all the venue & organizer criteria, instructions mentioned in the exhibition manual, has all the important elements that are required by the client like product display, meeting area, storage area, most importantly branding for which client is spending so much of money, etc. After all this, the stall designer has to make sure that the design output is aesthetically appealing and has that wow factor that client is looking for.
How to prepare the construction drawing of stall design?
After design is approved both by the client that suits his specifications and organizer that follows all guidelines, a complete construction drawing or working drawing is made by the booth designer. The detailed construction drawing has various sections like structure dimensions, lighting, electrical lay outing, branding, furniture & fixtures, AV elements, etc.
1. Structure Dimensions:-
Structure dimension section of construction drawing consists of all the major and minor structure related elements in the design. This section has all the minute details which designer wants to share with the booth fabrication team including the material specification and dimensions of each element. All material specification details related to the structure elements are mentioned and specified like wooden platform or wooden riser, carpet, wooden flooring, laminate flooring, wooden walls, paint finish material and paint quality whether roll paint or spray paint, laminate or mica, glass quality, etc. Other than that the colors of various elements especially paint Pantone shades are specified in the working drawing.
All the three dimensions that is length, width and height of each element is specified in detail like walls, entrance, storage area, meeting area, brand display facia, product display area (which is most important because product display should be according to product dimensions), etc. Based on these dimensions Stall fabrication company in Delhi starts pre-fabrication of stand elements in the workshop. The pre-fabrciated material is kept and later assembled and finishing is done at the venue. It is important to mention here that fabrication team does not get too much of time which range from a few days to just a few hours depending on the venue or exhibition for assembling, finishing and completion of the stand. So that is the reason pre-fabrication is done in workshop so as to save as much time as possible. The finishing of stand consists of assembling of structure elements, erection of stand, complete paint finish, electrical wiring and connections, pasting and fixing of branding, lighting, furniture and fixtures, Audio visual elements like TV, LED wall, Plasma wall, etc.
That’s why structure dimensions are most important part and utmost care is taken by the design team as well as fabrication team because whole stand revolves around that. Generally, separate dimensions of all elements in millimeter or feet/inch are given by the booth designers based on preference of the booth fabrication team. Some teams are comfortable in millimeters and others in feet/inch. Sometimes, the unit of measurement in working drawing depends on the unit that client has given their product dimensions in specification.
2. Lighting Details:-
Lighting section is that section of the construction drawing which explains about the type of light and number of lights to be installed in various sections of the exhibition stand. Based on various areas of a stand like open area, closed meeting area, storage area, display area, branding area, etc. the type of light is decided by the designer. For instance, a closed area should have sufficient light but should not exceed a level otherwise it causes lot of heat and discomfort for people attending long meetings. Branding area or areas which hold a very important and significant role are generally lit up with the help of focus lights or arm lights so that the light is only focused on the logo branding and company name.
The product display area lighting is also very important so exhibition stalls designing company in Delhi does lot of brainstorming to understand the client’s product and decide what type and quantity of light is suitable for the same. In a fashion jewellery booth, light plays a highly important role in particular because the way product is highlighted completely depends on the type and quantity of light. The fabrication team completely follow 3D design and construction drawing while fabrication of the exhibition stand. Still, at times the light effect and direction is finalized at the venue while setup because it may depend on the venue lighting as well. Sometimes it is assumed that 10 metal halides are enough considering there will be some lights on the roof of venue but as a last moment surprise, you may realize that the floor roof of venue is not having that much of light as expected so you may require adding the number of lights in the exhibition booth.
3. Electrical Layout:-
Electrical layout is more of technical details that speak about how electrical wires are to be laid and where we need to have the main power source provided by the exhibition organizer, MCB for emergency power disconnection and power plugs for laptop & mobile charging, etc. The stall designer takes a few points into consideration like main power source should be kept in such a way that it is not visible to the visitors. As far as MCB is concerned, it has to be placed at a place which is easily accessible so that in case of an emergency or day off it’s easy to handle. Regarding the power plugs, they should be available near all sitting arrangements for laptop, mobile charging, etc. and near reception desk.
Also, it is mandatory to have power plugs in storage room or pantry so as to run the tea coffee vending machine, refrigerator, water machine, etc. In addition to this, electrical connection is required for AV equipments like LED TV, video wall, OHP (Overhead Projector), etc. Another important point is provision of electrical connection for client’s product or machine and stall designers have to consider that while making the electrical wiring diagram. Sometimes client machine uses heavy wattage if they use air compressor or similar equipments so in that case, different gauge of wiring and high wattage power is requested from the organizer and mentioned clearly in the construction drawing of exhibition stand.
4. Branding Details:-
Branding is considered the most important and significant feature of the stand. It is like a cherry on the cake. For any client, their brand is most loveable and respectable entity so stall designers take utmost care while designing the stand. The branding section of drawing consists of company logo, punch line, posters, etc. This section of construction drawing explains details of all the branding elements where different numbers are given to them and it is clearly mentioned first - what kind of material to be used for each? And second – what is the exact dimension of that particular branding element? Based on dimensions provided by designer, client’s creative team provides art work file which is later printed and fixed by the team of stall designing and fabrication services in Delhi. There are various verticals available in branding these days say for a logo branding – we have acrylic lit logos, MDF wooden logos, sun board logos or simple vinyl stickers, etc. Similarly for posters – we have flex or digital prints available.
The clients or designer decides material based on the target budget or feasibility factors. In an overall cost of the stand, budget of branding can play a huge role so designers have to think a lot while finding an optimum solution between aesthetics and budget. At times, stall designers suggest such a type of branding that can be reused in future client events. In that way if they use costly branding (that costs four times a simple branding) once, and reuse it in next three events it’s cost can be easily recovered and client can highlight their brand. But sometimes it is not feasible because branding may get damaged while dismantling, transportation or storage. So there needs to be a good level of understanding in client and booth design agency in Delhi if they want to find out a middle way. Of course, storage and transportation cost is to be borne by the client in this case. Still if it works out, it is a very good solution.
5. Furnitures and Fixtures:-
Furniture & fixtures like centre tables, side tables, chairs, couches, bar stools, brochure stands, planters, visiting card holder, sweets bowl, pantry items like tea coffee machine, refrigerator, water machine, etc. are generally those elements that are provided to client on the exhibition stall and purchased by stall designing agency in Delhi on rent from a few vendors who exclusively deal in these elements. The list of these elements along with any specifications if any provided by the client are mentioned in the construction drawing so that on site fabrication team can install required items based on that.
The position of these elements are also mentioned in drawing so as to avoid any confusion but still minor modifications can be done on site as per liking of the client. Generally, these elements are provided based on availability but some clients are very specific so all the minute details are specified in working drawing. Mostly, exhibition stall designing company in Delhi does not provide catering services and consumables like eatables, water bottles, soft drink, juices, snacks, sweets, etc. but if required by the client they shake hands with an external agency and help the clients. Planters, flower pots and other related elements to enhance beauty of the booth are also provided and mentioned in the construction drawing with details and quantity.
6. AV Elements in the booth design:-
AV elements are those elements that are used for showing company presentations like LED TV, LED wall, Seamless plasma wall, OHP (Overhead Projetcor), Speakers, etc. are mentioned in the exhibition stall construction drawing so that fabrication team can streamline and manage the procurement and installation of these elements well in advance. The size of LED screen or Plasma wall depends on impact required by the client, space available, target budget of the stand, etc. More the size of screen – more is the price and so is the impact!
This section of construction drawing includes details of Servers, Desktops, Laptops or iPads if any required by the client but generally clients prefer using their own infrastructure so as to avoid any crucial data leakage. Delhi stall designer also provide small or huge UPS (Uninterrupted Power Supply) units if required by the client.
Process of fabrication of exhibition booth
Once, construction drawing is finalized it is sent to the client for final approval so that their technical team can go through all minute details and in case still there is any modification required can communicate with the stall designers. This can be complete in a single iteration or few ones and this process can take from a few hours to several days.
After final approval on the construction drawing, it is handed over to the Production manager who further assigns the job to a suitable Production team and Production Supervisor. They first go through the whole construction drawing and in case of any issue, get it clarified with the related designer in Creative team. After all is good – procurement of raw material is initiated along with other readymade material (like light, AV, furniture, fixtures, etc.) Readymade material is generally not a big concern for the production team so their most of the concentration is on pre-fabrication of major stand elements. After completing the production of each element, it is painted and after it is dried, it is packed in the shrink wrap or bubble wrap and opened at the site.
